SECTION A: GENERAL INFORMATION

E.A.T.O.W Trade Mission

Dates: As per the date of your choice on our website.

Delegates must join the trade mission from Day 1, however in the event this is not the case the fee for the trade mission remains the same, whether the delegate is on the mission for 1 or the relevant amount of days for the trade mission.

FLIGHT TICKETS ARE A SEPARATE COST, WE CAN RECOMMEND AGENTS WHO WILL GIVE YOU A DISCOUNT ONCE YOU MENTION E.A.T.O.W IF OFFERS ARE STILL AVAILABLE. YOUR TRAVEL AGENT OF CHOICE MUCH SORT OUT YOUR FLIGHT TICKET:

 

Flight Departure from country of your choice:

All tickets must be booked through your travel agent of choice;

Flight, and Visa request done with travel agent. We are not involved with the arranging of any flight tickets, we can supply you with a letter of invitation for your visa once proof of ticket has been sent.

There is also the opportunity for Visa on arrival for Nigeria and Ghana – if you require further information on this please email

admin@eatow.co.uk and you will be sent the relevant information.

TRADE MISSION COST:

  • Price as per advertised on the website at the time.
  • 5 Star Accommodation, VIP Local Travel on arrival, Security, Breakfast, Attendance to all our scheduled events. VIP Treatment,

 (Excluding other meals, travel insurance and vaccinations/medical compliance to travel). It is imperative you have your medical and travel insurance in place, we may ask for a copy, however it is your responsibility to have this in place before you travel to be part of our delegation.

  • Full Balance required – 60 days before departure date.
  • 50% Deposit required immediately (after your application has been submitted and has passed the vetting process).
  • By submitting your application form you are confirming you have read and understood all our terms and conditions and understand the process). Including all photos, video’s and images taken by us can be used for our own purpose.                      

 

  • If you do not wish to be in any of our footage, please notify us on each day we are together.
  • Final payment due as stipulated 60 days before, there may be the occasional acceptance.

Please note there may be additional fees – THIS FALLS UNDER YOUR OWN RESPONSIBILITY.

Vaccinations and other legal/medical requirements that fall outside of the responsibility. Please check this out before departure.

We have been notified if you require a Business Visa to Visit Nigeria this is an additional option, please check the relevant websites to obtain the precise information.  It may vary for non-UK residents, based on your country of residence.

We have been informed by the relevant agency’s

  • Travel is subject to Visa approval (for non-Nigerian passport holders)
  • Passport must have 6 months remaining at time of travel
  • Passport must have 2 blank pages

We are sure travel agent will require all you to adhere to their rules and regulations and visa request. There is the option of fast-track visa available. There is the option of visa on arrival – we can supply you with further information upon request.

SECTION B: VETTING PROCESS AND CRITERIA

Criteria to Join E.A.T.O.W Delegation:

Professional Criteria:

  • Must be a professional or freelancer or an owner, co-founder, director, majority shareholder, or an appointed representative of a business or institution.
  • Over 25 years of age (subject to E.A.T.O.W requirements, this can be reviewed).
  • Interested in exploring international markets and making international connections in Nigeria or other countries we are working with to advance business interests within the beauty, creative, media, entertainment, business, finance, tourism, the arts and lifestyle industries.
  • Available to attend the trade mission on the specified dates, (please note whether attendance is one day or the full duration advertised the price remains the same)
  • Able to communicate in English or understand English (the trade mission events and activities will be in English). If you do not speak English and still which to attend, it is not our responsibility to supply you with an interputator
  • Able to cover all costs associated with participating as a delegate.
  • Willing to act as a champion and ambassador representing entrepreneurship.
  • Willing to positively reflect the values and uphold the Code of Conduct of E.A.T.O.W, as a member of the delegation (see section entitled Delegate Responsibilities and Code of Conduct in our terms and conditions).

Legal Requirements:

  • Must be able to show the relevant amount in bank account if requested by any authorities. (as you may be required to quarantine in a Government appointed accommodation for a specified period where relevant. Subject to Covid-19 rules, if applicable at the time of the trade mission).
  • Must be legal to travel (have no travel restrictions from the country of choice to the country of our trade mission).
  • Must possess a passport ( if travelling from abroad to our country destination)or relevant to their country of residence) with 6 months remaining and two blank pages, at the time of travel.
  • You will be required to apply for a Visa to visit Nigeria or any other country we are working with for our Trade Mission if you do not have a Nigerian passport / or relevant country passport (application must be made via the Visa agent, /who should advise you accordingly.
  • To be a part of the trade mission, you will need a letter of invitation from E.A.T.O,W and or partners. E.A.T.O.W can provide this, once payment has been received for the trade mission)
  • Adhere to any government regulations/policies regarding travel and health risks.
  • Must make your own arrangements for travel/medical insurance, which must cover Covid-19. We advise that you make insurance arrangements as soon as you pay your deposit (E.A.T.O.W does not provide insurance).
  • A sponsorship confirmation letter on company headed paper (if you are being sponsored).
  • Travel agent or Visa agents will require a range of documents which you will be obligated to provide to them, please deal with them directly.

Medical Requirements:

  • You will be responsible for arranging medical requirements before travel (for Yellow fever and Malaria). It is imperative, to travel with your Yellow Fever Card.
  • You will be responsible for any other vaccinations as specified by the government, World Health Organisation, or relevant medical adviser.
  • Must be fit for travel.
  • You must NOT travel if, at the time of the trade mission, you are symptomatic and/or diagnosed as positive for Covid-19, or suspect that you may have it. Or any other ailments.
  • You will be required to follow all government guidelines, as they arise, in relation to Covid-19. And anything else.
  • If you have any existing medical conditions, it is your responsibility to take all precautions and to contact your general practitioner or relevant medical consultant, prior to travel. While part our party in Lagos, we will be able to provide details through our local partner of a private hospital or medical centre, doctor, and dentist, YOU MUST HAVE MEDICAL INSURANCE/TRAVEL INSURANCE
  • If you wish to make us aware of any medical conditions, please notify us in writing, on your application, we will of course have to inform our necessary partners to make sure your needs are catered for while with us. However, we are not responsible for your medical conditions, in particular making your medications etc.

Important Note: Before requesting or filing our application form please check that you meet the criteria to join the E.A.T.O.W Trade Mission to Nigeria or any other destinations or that you will be able to meet the criteria before the date of travel).

SECTION C: CONFIRMATION AND ACCEPTANCE

Trade Mission Confirmation and Acceptance

Your invitation to attend the E.A.T.O.W Trade Mission to Lagos, Nigeria, Africa (or any other destination we are going to)  is on the basis that you meet the criteria and terms and conditions stipulated in this document and any other additional questions or information required).

Your acceptance of this invitation will be on the basis that you have read, understood, agree and will be fully compliant with all the requirements laid out in this document.

You understand by signing and returning your application, you are agreeing to our terms and conditions.

This will include but is not limited to; providing details and declaring all required/requested information, in full and to the best of your knowledge.

This will also including any information that is not required or requested but which you know/are aware would or could be relevant or detrimental to your travel from the  i.e. UK and/or to Africa, or anyway else and participation in the trade mission., Particularly, where failure to do so could result in harm, injury, death of self or to others or will cause harm or damage to the reputation of E.A.T.O.W, any organiser, partnership, delegate or other parties involved in/associated with this trade mission.

Trade Mission Fees

You will need to make a payment directly into the E.A.T.O.W, Embracing All Tone of Women Ltd bank account via bank transfer or via the website payment gateway. (E.A.T.O.W, does not take card payments over the phone).  We prefer not to make payment through bank transfer but will do so in exceptional circumstances.

Where applicable, you will also need to make payment directly to E.A.T.O.W appointed agents, subcontracted service providers, distributors, or associates. (See section entitled: Payment) you must make sure you pay outstanding debts immediately with third parties.  We are not liable for any of your debts. We will not accept responsibilities for this, including food, drinks, additional amenities at the hotel etc.

You will need to make your own arrangements to cover some costs/fees, which do not fall within the remit of E.A.T.O.W and are not a part of the support package or service offered as part of this trade mission.

You will need to make all payments by the specified deadlines. Failure to do so will mean that your place will not be reserved and may be allocated to another delegate who meets the criteria and is able to pay the relevant fees.

Travel, Transport, Accommodation and Venues

Your participation in this trade mission and acknowledgement as a ‘delegate’ is limited to the specified start and end dates for this trade mission.

You will be notified of the travel arrangements, by way of any information supplied to us by our travel paerter, but we ask our travel partner and you to liase directly with one another, arrival and departure dates, this will be clearly displayed on our website.  It is your responsibility to make a note of both arrival and departure dates and times and arrive at the airport stipulated by our travel partner.

THIS IS ONLY RELEVANT WHEN WE ARE WORKING WITH A TRAVEL PARTNER.

There will be no protection or obligation whatsoever on the part of E.A.T.O.W (Embracing All Tone of Women Ltd) to any parties who conduct any business operations, meetings, activities outside of those specifically arranged by E.A.T.O.W, at the specified venues/locations, as part of the Trade Mission, during the official trade mission dates. We suggest your meeting to take place in the hotel and event spaces provided, including meeting rooms, we advise you to be sensible and insist on this when booking your appointments.  The accommodation can provide you with information for local transportation if you decide not to travel with us.  We recommend you use transportation recommended by them (it is important you whatsapp the group and let the organisers know when you have arrived to your destination and your return to the Hotel.  This checking in and out is impetrative and is an important criteria for the trade mission.

If you require private security, please ask our accommodation partner who no doubt will advise accordingly. Always let them know where you are going and put this information on the group text.

If you travel independent, this will be a separate cost to you, this is not part of the trade mission package.

Special arrangements have been made to secure the accommodation that you will be staying in and you are required to adhere to all health and safety and other compliance stipulated by the host and E.A.T.O.W staff.

We are currently in partnership with EbonyLife Place for Nigeria and delegates will be staying at the 5-star White Orchid hotel and or other accommodation allocated by the accommodation partner.

If your flight arrangements have been made to take delegates to Nigeria via our travel partner and from the various locations which form part of the trade mission, it is imperative you make sure your transportation from the airport to the venue is sorted by the travel partner.

Where relevant and previously arranged E.A.T.O.W along with our venue partner we will arrange transportation for those coming in on our flight of choice (the flight with most passengers attending our programme) direct to the hotel with the hotel’s security.

 

 E.A.T.O.W is not responsible for any independent travel or transport arrangements made by delegates, even if this should take place during the trade mission period.  We recommend when booking your flights opt for a flight that arrives during the day. 

 

 

E.A.T.O.W is not responsible for the possessions of any delegate and shall have no liability for any loss of or damage to property. This extends prior to, during or after any travel, stay at accommodation or visit to venues or locations of interest. It is solely the responsibility of delegates to safeguard their property and themselves.

Programme of Activities:  Attendance and Networking

There is a full programme of activities. This will include, networking, with other professionals in attendance, all of whom are representing their business, industry, profession, and country.

Your attendance to this trade mission is on the basis that you will participate in the full programme of activities, as directed by E.A.T.O.W trade mission and organisers.

You will be required to adhere to all health and safety measures, as instructed by the venue host, E.A.T.O.W staff and Government regulations.

WhatsApp Trade Mission Online Group Via Mobile

A WhatsApp group will be created for the delegation as a way to make sure that there is a central point of communication between E.A.T.O.W (as the Trade Mission organiser and other partners), and with you and all other delegates.  This will enable all to connect, engage, receive alerts, and share information.

Your mobile phone/device must have the WhatsApp application prior to travel, and you will be required to provide your mobile phone number to be a part of the WhatsApp Trade Mission Group. It is compulsory all delegates supply their phone number of choice, before arrival.

Make sure on arrival to the country you have data or can roam on your phone.  Once at the hotel there is the opportunity to purchase data, obtain a local sim and the use of WIFI.

 

(It is important you WhatsApp the group and let the organisers know when you have arrived to your destination (from meetings and all excursions)

and your return to the Hotel.  This checking in and out is impetrative and is an important criterion for the trade mission.

Delegation Information Document

You will need to provide all details required of you by E.A.T.O.W Trade Mission organisers and partners, to be included in the official delegation pack that will showcase all delegates and will be endorsed by our relevant partners.

A letter/document/ tag/or similar representing E.A.T.O.W from the will be granted to confirm that you care a participant of our Trade Mission. You will be required to always keep this document on you, as evidence that you are part of the E.A.T.O.W Trade Mission delegation.

You must provide this Trade Mission document to any relevant officials who need to inspect it, to determine/verify your identity, your legal status in the country and to uphold your legal right to seek and receive support/representation in Nigeria and any other official stakeholders and institution.

Pre and Post Trade Mission Activity

You will be required to attend all scheduled pre-meetings to discuss important issues relating to the trade mission, prior to travel. These will be held online via Zoom or other platforms, to make these meetings accessible to you from any location where there is an internet connection. We strongly advise that you find a suitable location.

A few weeks before the trade mission takes place, a meeting will be scheduled for all members of the delegation and the E.A.T.O.W team to meet to familiarise and bond with each other online, where and when possible.

Shortly following return to home ( final destination), a post-trade mission meeting will take place via Zoom when possible, where delegates will be able to meet individuals from the Department for International Trade  or other third parties,  to share valuable insights. 

SECTION D: PAYMENT

1.Payment Terms and Conditions

1.1 By making payment in part or in full you are declaring that you have read and fully understood the payment terms and conditions and all other terms and conditions for participation in the Trade Mission.

1.2 Where a deposit has been made but the full payment has not been made by the final deadline date specified to reserve a space, your trade mission registration will be cancelled but the full booking cost will remain due. 

2.Your attendance to The Trade Mission will not be confirmed until payment has been received in full

2.1 Bank details or an online payment gateway will be made available to you to enable you to make payment.

2.2 An invoice receipt and booking confirmation will be sent to your registered email account.

2.3 Please keep a note of this invoice and any transaction receipt number, as you will need to quote this if you have any queries with your payment.

2.4 Your receipt will not show your debit / credit card details, so if your receipt is lost or stolen, your card details will remain confidential.

  1. Refused Payments

4.1 If your card payment is refused, it might not be E.A.T.O.W that is refusing your card payment – it could be the card issuing bank that is refusing to authorise the payment.

4.2 If this occurs, you will need to contact your card company to discuss the reasons for the refusal.

4.3 E.A.T.O.W accepts no liability for a payment not reaching the intended account due to customer error with the bank transfer or incorrect account information during the booking process. E.A.T.O.W will not be responsible for making any reimbursements for funds not received because they have been sent to another account by you in error.

You will still be required to meet your payment obligation to E.A.T.O.W to participate in the Trade Mission.

4.4 E.A.T.O.W accepts no liability if payment is refused, or declined by your bank. E.A.T.O.W has no control over payment processing with your bank, or third parties. Any refusal of payment should be taken up with your bank or third parties, directly.

  1. Failure to Make Payment for Any Reason

5.1 Should you fail to make payment for any reason, your registration for the E.A.T.O.W Trade Mission is not considered complete, and your place is not considered to be reserved or secured.

5.2 You may attempt to complete the payment however, failure of payment before the specified deadline date will result in your application being deleted. E.A.T.O.W accepts no liability if, when you attempt to make a payment, spaces to attend the event are no longer available.

  1. Payment Security

6.1 Neither E.A.T.O.W, nor any of its staff or any third party’s consultant has any access to your card details.

  1. Cancellations and Refunds

7.1 If you are unable to attend, you may send a substitute provided that your substitute meets our vetting criteria and that you notify us of the change at least 2 weeks prior to the Trade Mission.

7.2 The substitutes must also meet the vetting criteria of all relevant parties involved in the processing of the application, such as visa processing etc.

7.3 Substitutions must be communicated by email to E.A.T.O.W and there will be a cost for any additional administration, visa processing and relevant requirements to travel to Nigeria or elsewhere (where relevant).

 

7.4 There will also be additional costs which fall outside of the scope of E.A.T.O.W and it will be your responsibility to meet these costs.

7.5 Cancellations up until 3 months prior to the Trade Mission: you will be refunded in part at the discretion of E.A.T.O.W management team and will be charged an administration fee.

7.6 Cancellation less than 3 months prior to the Trade Mission or non-attendance, you will be liable for the full cost.

7.7 No reimbursements will be made accommodation and the trade mission programme, or any other costs incurred by you in connection with the Trade Mission should you not attend or not inform E.A.T.O.W of a cancellation or substitution within the specified timescales.

  1. Changes or Cancellations of the Trade Mission or Scheduled Programme of Activities

8.1 E.A.T.O.W reserves the right to make changes to the Trade Mission and schedule of activities and will notify you of any changes as required. In person, on email, verbally or on the day. Cancellation terms apply as stated above,

8.2 Should E.A.T.O.W need to cancel or postpone the trade mission due to reasons within its control, E.A.T.O.W will transfer your booking to another date.

8.3 E.A.T.O.W reserves the right to postponed the event and retain your fee until an alternative date has been confirmed.

8.4 Refund requests must be made by email to E.A.T.O.W (see registration page) and provide evidence of any refundable costs. Evidence must be provided within a period of 14 working days. Refunds will be issued directly to the person/ company who made the initial payments.

  1. Financial Support/Sponsorship

9.1 This clause applies where you have received financial support to attend this trade mission.

9.2 E.A.T.O.W reserves the right to withhold any or all of the financial package if any participant that has received financial support: ceases trading; goes into liquidation, administration, receivership or bankruptcy; becomes the subject of a proposal for a winding up order or any other informal insolvency procedure; or becomes indebted to any HM Government department.

9.3 E.A.T.O.W reserves the right to withhold any or all of the sponsorship contribution or require part or full repayment of any sponsorship already paid if any participant that has received sponsorship fails to comply with any conditions of E.A.T.O.W or our partners, or causes embarrassment to E.A.T.O.W, UK or Host Government, the host country (if applicable) or other participants of the delegation.

9.4 Where the delegate is seeking to secure or has secured a sponsor to finance a placement on the trade mission, the onus is solely on the delegate to ensure that the sponsor makes the agreed payment.  E.A.T.O.W is not obligated to pursue any sponsor for payment on behalf of a delegate.

  1. Force Majeure

10.1 If the E.A.T.O.W Trade Mission or activities are abandoned, cancelled or suspended in whole or in part by reason of war, civil outbreak/upheaval, fire, national emergency, labour dispute, strike, lock-out, lock-down, civil disturbance, inevitable accident, virus outbreak, risk of infection, pandemics or other health concern, government restriction, the non-availability of the venue or any other cause not within the control of E.A.T.O.W, then E.A.T.O.W may, at our entire discretion, reimburse you or part thereof, but shall be under no obligation to do so.

10.2 Should E.A.T.O.W reimburse, the reimbursement shall be based on reasonable costs at E.A.T.O.W’s sole discretion based upon an estimated market rate for accommodation and transport expenses, and any additional costs deemed relevant. E.A.T.O.W shall be under no liability to you in respect of any actions, claims, losses (including consequential losses), costs or expenses whatsoever which may be brought against or suffered or incurred by you, as the result of the happening of such an Event.

10.3 E.A.T.O.W will be under no obligation to remedy any financial loss to delegates and will not be held to any ligation/legal action and will not be required to make a settlement, under any of these circumstances or any others that are outside of the control of E.A.T.O.W and our partners. That you agree to indemnify E.A.T.O.W against any claim in respect of any such liability (and the costs and expenses incurred by E.A.T.O.W in relation thereto).

  1. Limitation

11.1 E.A.T.O.W shall not under any circumstances be liable to you in contract, tort (including negligence) or otherwise for loss of revenues or opportunities, goodwill, reputation or any type of special, indirect or consequential loss even if such loss was reasonably foreseeable or E.A.T.O.W had been advised of the possibility of you incurring the same.

11.2 E.A.T.O.W shall have no liability for any death or bodily injury (except death or injury caused by the negligence of E.A.T.O.W or its staff), or loss of or damage to property, of anyone attending the trade mission, whether arising from such attendance, or in relation to the provision or use of the facilities, accommodation, venues or locations of interest appointed for the trade mission activities. That you agree to indemnify E.A.T.O.W against any claim in respect of any such liability (and the costs and expenses incurred by E.A.T.O.W in relation thereto).  You are required to make your own arrangements for insurance.

SECTION E: DELEGATE RESPONSIBILITIES AND CODE OF CONDUCT YOUR E.A.T.O.W Delegate Status:

Your trade mission delegate status is only valid for the duration of the trade mission itself and is limited to trade mission activities. Should you arrive earlier, depart later, or engage in any extra-curricular activities E.A.T.O.W will have no responsibility to you, should any difficulties arise.

 

Delegates Must Not:

  • Bring any prohibited items to Nigeria and UK, or any other country.
  • Bring anything to sell unless authorised by E.A.T.O.W
  • Sell on the premises of any venues without authorisation.
  • Have visitors on the premises unless this forms part of E.A.T.O.W scheduled activities or has been approved by E.A.T.O.W team members or the venue.
  • Have visitors to the hotel or in attendance to any trade mission excursions.
  • Engage in or organise any private excursions – if you do so it is at your own risk. Please note you are there as part of an exclusive package.

. • Participate in any employment.

Pre-Meetings Online – Orientation

All delegates must attend our pre-meetings training, via Zoom etc, during which we will provide orientation sessions which will include:

  • Media training (No access to be given or footage shared with unauthorised media in Nigeria. It must go through E.A.T.O.W or Ebonylife).
  • Cultural etiquette training (to be compliant and respectful).
  • Social media compliance (No social media reporting without the consent of E.A.T.O.W).
  • Covid-19 compliance, Health & Safety and risk assessment. Adhere to the Accommodation and Country Rules at All Times.
  • Delegates are required to adhere to the rules of Ebonylife Place and our partner hotel and all other partners. A welcome pack/event will be presented to notify you of what is expected.
  • Delegates are required to adhere to Nigeria’s or other countries rules and be respectful of Nigerian or other country culture at all times.

Participation in Activities

All delegates are required to participate in all activities, as part of the trade mission.

Dress Code

As a delegate you are representing not just yourself but your country and E.A.T.O.W. Nigeria or other country is a conservative country, and you will need to respect the culture. No nudity, shear/transparent clothing, or revealing clothing, cleavage, mini-skirts, or ripped jeans. You are required to always wear foot apparel (sensibly heeled footwear – No bare feet). Respect Others At All Times NO:

Derogatory and defamatory comments or disruptive and indecent behaviour is prohibited.  (The list below is not limited):

  • Derogatory and defamatory comments on social media
  • Swearing or using any profanity
  • Disruptive, threatening, or abusive language and behaviour
  • Sexual or indecent language, harassment, or other associated behaviour
  • Alcohol, drugs, illegal substances, or intoxication
  • Carrying weapons

Covid-19 Health & Safety

  • If during your stay, you suspect that you have Covid-19 or upon testing you are positive for the virus, you will need to isolate in your room until further notice. You must not leave your room, invite anyone to/into your room or make physical contact with anyone.
  • You must contact E.A.T.O.W appointed staff immediately and follow all guidelines as instructed by the staff member and EbonyLifePlace rules.
  • You must comply with government Covid-19 regulations.

Consequences

  • Putting yourself or others at risk: inappropriate behaviour, violence, bullying, threatening behaviour or withholding information that puts yourself or others at risk. You will be required to leave EbonyLife Place or other accommodation partner and make your own arrangements to return to home, at your own expense.
  • Disruptive behaviour: You will be removed from the location and instructed to return to your room pending investigation. Should it be deemed that your behaviour is unacceptable, you will be required to leave EbonyLife Place or any other accommodation partner and make your own arrangements to return home at your own expense.
  • Gross misconduct: Should there be any gross misconduct on your part, you will be required to make your own arrangements for return to home. E.A.T.O.W, the venue, our partners will not be liable in any way to organise your return transportation and is not obligated to reimburse any fees to you. (Gross misconduct includes, but is not limited to, the descriptions above and will be determined by E.A.T.O.W management on an individual case basis).
